Scope

These terms and conditions govern any dealings we may have with any participant or potential participant in the Congress (“delegate”) and apply for the benefit of the South Australian Genealogy & Heraldry Society Inc and the Adelaide Northern Districts Family Group Inc and the Fleurieu Peninsula Family History Group Inc and the Australasian Federation of Family History Organisations Inc. and their respective officers, employees, volunteers and agents (all and any of which are hereafter referred to as “we”, “us” or “our”).

Registration & Congress Program

Delegates and prospective delegates must ensure that all information submitted at the time of registration is complete and accurate including (without limitation) any credit card or other payment related information. Delegates are responsible for ensuring that their application for registration has been received, processed and accepted.

Delegates will have no rights to participate in the Congress or any related functions, hospitality, tours or activities unless all amounts owing have been paid. Late payments may be rejected unless the delegate also pays interest on the late payment at a commercial rate.

We may alter any aspect of the Congress Program at any time including (without limitation) changes in venues, dates, speakers, topics, hospitality, functions, tours and any delegate benefits. Where reasonably practicable, we will notify delegates of any significant changes. A delegate will not be entitled to any refund or compensation with respect to changes except if the delegate cancels participation in the Congress at a time when the delegate is entitled to a refund under our cancellation policy.

Delegates are responsible for all travel, accommodation and other expenses associated with participation in the Congress.

Hotel registration is handled separately from registration for the Congress, with delegates being responsible for arranging and paying for their own accommodation for the duration of their stay in Adelaide. Delegates are strongly advised to refer to the terms and conditions of the accommodation provider before making their booking.

Restrictions on recording of Congress activities

Delegates are not permitted to film, photograph or record the audio of any Congress sessions without our prior written approval.

Any Congress materials provided to delegates are subject to copyright and may only be reproduced to the extent that this is expressly authorised.

Personal Information

By registering for this Congress, Delegates agree to their personal information including their name and contact details being used for communications from us on Congress matters and for inclusion in the published delegates list in print or digital form. If a Delegate does not wish their details to be included in the list of delegates, they should advise us in writing at the time of registration.

Liability/Insurance

Delegates and prospective delegates register for, and attend, the Congress and participate in all associated hospitality, tours and functions at their own risk and agree not to hold any of us liable for any losses, damages or liabilities whatsoever incurred.

We do not accept responsibility for any death or personal injury, loss or damage arising from the Congress and its related services which include hospitality, functions or tours. Delegates and prospective delegates agree not to hold any of us liable or responsible for any personal injury or any loss or damage to personal property or any other loss howsoever arising. Delegates and prospective delegates are strongly advised to take out adequate personal insurance prior to travelling and attending the Congress.

If any of us are liable to a Delegate or prospective delegate notwithstanding the provisions of these terms and conditions, then the liability of each and all of us is limited (for the aggregate of all claims however based including negligence) to a refund of the Congress registration fee. In no circumstances will any of us have any liability for a delegate's travel costs, accommodation costs or any other costs which the d legate may incur or have incurred.

Changes to these Terms and Conditions

We reserve the right to change, alter or amend these terms and conditions at any time without prior notice. These Terms and Conditions are governed by the laws of the State of South Australia and each Delegate or prospective Delegate irrevocably submits to the jurisdiction of the courts of this state.
